Subject: Your Trip to Raja Ampat Is Confirmed – Next Steps and Travel Details

I’m happy to let you know that we have reached the required number of travellers for the [DATES] expedition. The trip is officially going ahead, so you can now start planning for the adventure.

In a separate email, I will send the invoice for the second and final payment.

I’m also sending you some important information to help you prepare for the journey:

1. Key dates (Jakarta add-on option):

  • Start of the trip (Day 1) is [DATES] with your arrival in Jakarta.

  • Travel to [CITY], Papua, with the group in the evening of Day 2 [DATE].

  • Start of the cruise on morning of Day 3.

  • End of the cruise and return from [DATE] to Jakarta on [DATE] (Day 17) in the late afternoon.

2. International travel dates: because flights from Papua to Jakarta can sometimes be delayed or cancelled, I recommend booking your return international flight no earlier than the afternoon of Day 18. Check-out time at the hotel is 12:00 (noon). If your flight is later in the evening, and you’re not especially passionate about spending six hours admiring the architecture of Jakarta’s international terminal, you may prefer a late check-out. The hotel offers this for around IDR 375,000 (around AUD 37).

3. I have attached the "Trip information & checklist" document. Please have a good read, sign the disclaimer at the end, and email it back to me.

4. Please go through the information in the "Trip information & checklist" document before booking your international flights. I strongly recommend purchasing cancellation insurance.

5. A doctor’s clearance form is included at the end of the "Trip information & checklist" document. Please ask your GP to complete it and return it to me after full payment.

6. The third document I need is the “Traveller Information & Copy of Passport” form, which is also included in the attached “Trip information & checklist" document. Please complete it for each passenger and email it back to me along with a scan of your passport(s).

7. The map on page 28 of the “Trip information & checklist" document illustrates our route. We will board in Nabire (near the whale shark location) and end in Sorong (gateway to Raja Ampat). I have also included a table at the bottom of this email showing a rough, day-to-day itinerary. As you probably know by now, we may improvise and decide to diverge from the planned route!

8. Check the validity of your passport(s): 6 months minimum from the date of arrival in Indonesia.

9. Please send me your flight details once you have confirmed bookings.
