Kalawai Adventure – Booking Terms & Conditions
Deposit
After the video interview, Kalawai Adventure will issue an invoice for a deposit of AUD 1,500, which secures your place on the expedition.
To ensure fairness to all interested guests, the deposit is payable within three (3) days of the invoice date. If payment is not received within this timeframe, the place may be offered to another guest.
The deposit is held until the minimum number of travellers is reached and the expedition can be officially confirmed (“green-lighted”). We will keep you informed of the trip status and notify you once the expedition is confirmed.
Refund of deposit
If you cancel your booking after paying the deposit, the deposit is non-refundable, except:
as required under applicable consumer law; or
where expressly stated otherwise in these terms.
Full Payment
Once the expedition is confirmed, you will be required to pay the remaining balance within 14 days (or as otherwise specified).
If the balance is not paid by the due date, Kalawai Adventure may treat the booking as cancelled by the guest. In that case:
the deposit will be retained; and
Kalawai Adventure reserves the right to offer the place to another guest.
Once the expedition has been confirmed, payments are non-refundable, except:
as required under applicable consumer law; or
where a replacement guest is found (see below).
Cancellations by You
If you cancel your participation, payments are non-refundable, except:
as required under applicable consumer law; or
if your place is filled by another guest (see “Replacements” below).
We strongly recommend purchasing comprehensive travel insurance, including cancellation cover.
Replacements
If you cancel your participation, Kalawai Adventure will make reasonable efforts to fill your place.
If your place is filled:
we will refund amounts paid, including the deposit,
less any non-recoverable costs (e.g. payment processing fees, currency conversion fees, or third-party charges).
We cannot guarantee a replacement, and availability decreases closer to the departure date.
Cancellations by Kalawai Adventure
If the minimum number of participants is not reached, Kalawai Adventure will cancel the expedition and provide a full refund of all amounts paid, except for any third-party costs you have independently incurred (e.g. flights).
Force Majeure
If the expedition cannot proceed due to events beyond our reasonable control (including but not limited to war, epidemic, natural disaster, government restrictions, or safety concerns), Kalawai Adventure may cancel or postpone the trip.
In such circumstances, we will:
use reasonable efforts to offer a transfer to a future expedition, or
provide a refund or partial refund, taking into account costs already incurred and non-recoverable third-party expenses.
Third-Party Costs
Kalawai Adventure is not responsible for costs associated with third-party services, including international or domestic flights, accommodation, or visas.
Guests are strongly encouraged to purchase travel insurance to cover such risks.
Your Rights Under Australian Consumer Law
Nothing in these terms excludes, restricts, or modifies any rights you may have under the Australian Consumer Law.
